HOW WE HELP
CRM & Relationship Management
Keep the people behind your mission connected.
What does nonprofit CRM setup involve?
Nonprofit CRM setup organizes contact data and the workflows around it. We assess fields, segmentation, duplicate records, forms, ownership, follow-up, permissions, reporting, and training. Donation processing, gift accounting, and confidential case management are separate requirements to evaluate.
The relationship gets lost between the tools.
A volunteer inquiry lands in one inbox, a partner contact lives in a spreadsheet, and a supporter update depends on a list only one person knows how to maintain. Each tool may be doing its job, but the team lacks a clear view of the relationship and the next action. Staff then spend time asking whether someone has responded instead of moving the conversation forward.
A useful CRM setup starts with those handoffs. We look at the information people need, who owns it, and what should happen when a contact moves from an inquiry to an active relationship, then configure the system around that work.
Make one relationship workflow easier to manage.
We map contact types, fields, consent preferences, permissions, and follow-up responsibilities before selecting or configuring a platform. Existing data is reviewed for duplicates and gaps, with migration mappings approved and tested on a sample. Salesforce, HubSpot, and Freshworks are assessed against the requirements rather than selected by default.
The agreed implementation can connect forms, route inquiries, support routine email workflows, and provide reporting that staff can use. Documentation and training focus on the actual tasks the team will perform. Donor accounting, donation processing, and confidential case management are assessed as separate requirements.
ILLUSTRATIVE NONPROFIT SCENARIO
From a volunteer inquiry to an owned next step.
Imagine a nonprofit receiving volunteer inquiries through its website while coordinators maintain separate spreadsheets. A first phase could create or update the contact record, record the opportunity of interest, assign a coordinator, and show whether follow-up has happened. Staff would have a shared view without needing to rebuild every process at once.
Before launch, the team would test duplicate submissions, updated contact preferences, and a change of coordinator. A short guide would explain who maintains each status and what happens when an inquiry needs further review. This keeps the system understandable when responsibilities change.
Give staff a view they can rely on.
The intended outcome is a clear contact structure and a usable follow-up process with agreed ownership. We review whether staff can find the information they need and keep it current, then identify additional workflows only where they serve a real need. Your organization owns the accounts and data.
What the work can include
Contact structure, segmentation, data cleanup and migration, forms, routing, email workflows, dashboards, and team training. Salesforce, HubSpot, and Freshworks are assessed against your requirements. Specialized donor management, gift accounting, and program case-management requirements are assessed separately before any implementation is agreed.
- A relationship and data map for your key contact types
- Agreed fields, segmentation, permissions, and migration mappings
- Selected forms, routing, and follow-up workflows
- Dashboards, documentation, and staff training in scope
Questions nonprofit teams ask
Do we need a new CRM?
Not necessarily. We review your current platform, data, and workflows first. Configuration, cleanup, and a clearer handoff may address the problem without replacing the system.
Can you migrate our spreadsheets and contact records?
Data cleanup and migration can be included in scope. We agree field mappings, duplicate handling, consent information, and a sample review before the full migration.
Does this include donor accounting or confidential case management?
Those are specialized requirements and are assessed separately. We confirm the appropriate platform and implementation scope before agreeing any connections to a general CRM.
How are fees and timing agreed?
A free discovery call and no-charge assessment help define the work. We agree deliverables, responsibilities, fees, and timing before the engagement starts. The number of audiences, content needs, integrations, and review steps can affect the scope.
Do you work with nonprofits outside the Hudson Valley?
Yes. Sync Strategic is based in Orange County, NY and serves the Hudson Valley, NYC, and beyond. Remote collaboration is available for organizations outside the region.
